Meela Privacy Policy

Meela Inc. (“we”, “us” or “our”) provides an artificial intelligence powered voice companion named Meela Companion (“Meela Companion”) designed to enhance quality of life for elderly adults through engaging and personalized conversations, and Meela Rides (“Meela Rides”), a voice-based service through which we act as your agent to arrange transportation for you from independent third-party transportation network companies such as Lyft and Uber (each, a “TNC”). This Privacy Policy describes how we process personal information that we collect through Meela Companion, Meela Rides, and through our other digital or online properties or services that link to this Privacy Policy (including as applicable, our website and social media pages) as well as our marketing activities, and other activities described in this Privacy Policy (collectively, the “Service”). Where a feature or data practice applies only to Meela Companion or only to Meela Rides, we say so; otherwise, references to the Service in this Privacy Policy apply to both. We may provide additional or supplemental privacy policies to individuals for specific products or services that we offer at the time we collect personal information.

We partner with long-term care and assisted living communities, including home care agencies (each, a “Care Entity”) to allow Care Entity residents and/or home care recipients to sign-up for Meela Companion. If you signed up for Meela Companion through your Care Entity, we may share any information we collect from or learn about you with your Care Entity, including information based on your conversations with Meela Companion, such as insights about your wellbeing and feedback about Care Entity conditions. Although we may share your information with your Care Entity, we may not. Meela Companion is powered by artificial intelligence and may not always share the information you want shared with your Care Entity. If there is information you want to share with your Care Entity, please share it with them directly. If you have questions or concerns regarding your information processed by your Care Entity, please direct your concerns to your Care Entity.

Personal information we collect

Information you provide to us.  Personal information you or your representative provides to us when you sign up for and use the Service includes:

  • Contact data, such as your first and last name, salutation, email address, mailing addresses, and phone number.
  • Demographic data, such as your city, state, country of residence, postal code, gender, date of birth, and age.
  • Account information, such as the pre-scheduled times you set to receive calls from the Service, your preferred topics of conversation, your preferred authentication and account recovery methods, and any other information you provide to establish and set up an account during the onboarding process.
  • Communications data based on your communications with the Service, our exchanges with you, including when you contact us through the Service, social media, or otherwise.
  • Meela Companion user-generated data based on your conversations with Meela Companion, and Meela Companion’s memories of your conversations, such as your hobbies and interests, favorite media outlets or sports teams, questions, interests in current events, reminiscences and memories, information concerning your or others’ interpersonal relationships, habits, preferences, and any other information you choose to share while interacting with Meela Companion or that we infer about you.
  • Care Entity information, such as the name of the Care Entity where you are a resident, information about your living conditions, interactions with staff, feedback on food quality, and any other information or feedback you share about your Care Entity.
  • Health-related information, such as your past or present physical or mental health conditions, treatments, diseases, or diagnosis, use or purchase of prescribed medications, or other health-related information you share while interacting with the Service.
  • Audio or voice recordings, such as recordings of your conversations through the Service and transcripts of those conversations.
  • Marketing or survey data, such as your preferences for receiving our marketing communications and details about your engagement with them and information you provide in response to any survey questions while interacting with the Service.
  • Other data not specifically listed here, which we will use as described in this Privacy Policy or as otherwise disclosed at the time of collection.
  • Location and trip data, such as the precise pickup and drop-off addresses you provide for a ride, your ride requests and ride history, ride dates and times, and ride status.
  • Payment data, such as the payment card and billing information you provide to pay for rides and other paid Services, which is collected and processed by our payment processor.
  • Loved One contact data, such as the names and phone numbers of the people you designate or otherwise designated to receive updates about your rides (“Loved Ones”).

Third-party sources.  We may combine personal information we receive from you with personal information we obtain from other sources, such as:

  • The Care Entity where you are a resident or your home care agency.
  • Public sources, such as government agencies, public records, and other publicly available sources.
  • Private sources, such as data providers, social media platforms and data licensors.
  • Marketing partners, such as joint marketing partners and event co-sponsors.
  • Third parties designated by you, such as your family members or loved ones, where you have instructed us or provided your consent to do so.
  • Service providers, that provide services on our behalf or help us operate the Service or our business.
  • Business transaction partners. We may receive personal information in connection with an actual or prospective business transaction (for example, from an entity we acquire or are acquired by, a successor or assignee, or any party involved in a merger, acquisition, sale of assets, or similar transaction, and/or in the context of an insolvency, bankruptcy, or receivership).
  • Authorized Representatives, Family Members, and Friends. We may collect information about you from individuals who are authorized to act on your behalf or who assist you in using the Service, such as family members, legal guardians, or friends. This information may include contact information, care preferences, health-related details, and other insights intended to support your experience with the Service.
  • Care Entities. We may collect information from Care Entities where you reside or receive services, such as information about your living conditions, activities, feedback, and interactions with community staff.
  • Publicly Available Sources. Where permitted by law, we may collect information about you from publicly available sources, such as public social media profiles, news articles, public records, or publicly accessible databases.
  • Service Providers and Business Partners. We may receive information from vendors and partners that support our operations, such as transcription providers, analytics services, customer support tools, marketing platforms, and cloud hosting providers.

Automatic data collection.  We, our service providers, and our business partners may automatically log information about you, your computer or mobile device, and your interaction over time with the Service, our communications and other online services, such as:

  • Device data, such as your computer or mobile device’s operating system type and version, manufacturer and model, browser type, screen resolution, RAM and disk size, CPU usage, device type, IP address, unique identifiers, language settings, mobile device carrier, radio/network information, and general location information such as city, state or geographic area.
  • Online activity data, such as pages or screens you viewed, how long you spent on a page or screen, the website you visited before browsing to the Service, navigation paths, information about your activity on a page or screen, access times and duration of access, and whether you have opened our emails or clicked links within them.
  • Communication interaction data such as your interactions with the Service, our email, text or other communications (e.g., whether you open and/or forward emails), which we may track through pixel tags.
  • Inferences and Derived Data. We may generate new personal information about you based on your interactions with the Service, such as inferred interests, conversational preferences, engagement patterns, emotional tone, and other insights derived from your use of the Service.

Cookies and similar technologies.  Some of the automatic collection described above is facilitated by cookies, local storage technologies (like HTML5), web beacons (also known as pixel tags or clear GIFs), and similar technologies (collectively, “Cookies”). We, our service providers, and our business partners use Cookies for purposes such as:

  • operating and improving the Service, including the conversational and AI-powered technologies, such as those provided by OpenAI, Anthropic, Deepgram, 11Labs, Google Cloud Platform, Pinecone, and Retell, available through, or integrated with, the Service;
  • analyzing use of the Service and generating analytics; and
  • advertising and marketing, including through social media platforms, advertising networks, and analytics providers that help us reach and measure our audience.

When you first visit the Service, our cookie banner lets you accept, reject, or customize which categories of Cookies apply to your visit. You can change your Cookie preferences at any time by adjusting your browser settings as described below under Your choices. These third parties may access and use certain personal information, including personal information you share while interacting with the Service, subject to their own privacy policies.

How we use your personal information

We may use your personal information for the following purposes or as otherwise described at the time of collection:

Calls and text messages.  When you use or sign up for Meela Companion you agree to receiving autodialed, artificial intelligence driven artificial voice calls to the phone number you provided to your Care Entity or included on the sign-up form when you or your representative signed you up for Meela Companion. When you use Meela Rides, you also agree to receive calls and text messages, including autodialed and prerecorded or artificial-voice calls or artificial intelligence powered voice calls and SMS, from us, the applicable TNC, and the assigned driver about your rides, and you authorize us to send ride status updates to the Loved Ones you designate.

To arrange and provide Meela Rides.  We use the precise pickup and drop-off locations, contact details, and ride information you provide to act as your agent in requesting, arranging, monitoring, and supporting rides with TNCs; to keep you and the Loved Ones you designate updated about a ride; and to process ride payments.

Service delivery and operations.  We may use your personal information to provide, operate and improve the Service and our business; enable security features; communicate with you about the Service, including Service-related announcements, updates, security alerts, and support and administrative messages; and provide support for the Service and respond to your requests, questions and feedback.

Service personalization.  We may use your personal information to understand your needs and interests while interacting with the Service; personalize your experience, including to generate personalized questions, responses, comments, and statements during your current and future conversations with the Service and our Service-related communications; and remember your selections and preferences.

Service improvement and analytics.  We may use your personal information to analyze your usage of the Service, improve the Service and the rest of our business, understand user activity (including which features are most and least used), and develop new products and services. For example, we use Google Analytics for this purpose.

Compliance and protection.  We may use your personal information to comply with applicable laws, lawful requests, and legal process; protect our, your or others’ rights, privacy, safety or property (including by making and defending legal claims); audit our internal processes; enforce the terms that govern the Service; and prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity.

Data sharing in the context of corporate changes of control.  We may share certain personal information in the context of actual or prospective corporate changes of control, as described in How we share your personal information below.

To create aggregated, de-identified and/or anonymized data.  We may create aggregated, de-identified and/or anonymized data from your personal information and use and share it with third parties for our lawful business purposes, including to analyze and improve the Service, develop new products and services, and promote our business.

Further uses.  In some cases, we may use your personal information for further uses, in which case we will ask for your consent if those uses are not compatible with the initial purpose for which information was collected.

Retention

The Service is artificial intelligence-powered and driven by computing resources. As such your correspondence and interactions with the Service may be recorded, transcribed and retained. You agree to this when you sign up for, interact with or use the Service.

We generally retain personal information to fulfill the purposes for which we collected it, including providing the Service, satisfying legal, accounting, or reporting requirements, establishing or defending legal claims, or fraud prevention. To determine the appropriate retention period, we may consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process it and whether we can achieve those purposes through other means, and applicable legal requirements. When we no longer require the personal information, we may delete it, anonymize it, or isolate it from further processing.

How we share your personal information

We may share your personal information with the following parties and as otherwise described in this Privacy Policy, in other applicable notices, or at the time of collection. We share the categories of personal information described above for the purposes described in this Privacy Policy. Notwithstanding the foregoing, your opt-in data and consent are never shared with, sold to, or disclosed to any third party for their own marketing purposes, including business or marketing partners, except as required by law or as necessary to provide the Service to you.

Your Care Entity or home care agency.

Service providers.  Third parties that provide services on our behalf or help us operate the Service or our business (such as hosting, information technology, customer support, AI Models for the Service, payment processing, email delivery, marketing, consumer research and website analytics).

Third parties designated by you.  We may share your personal information with third parties, such as your family members or loved ones, where you have instructed us or provided your consent to do so, including by sending ride status updates to the Loved Ones you designate for Meela Rides.

Transportation network companies (TNCs).  When you request a ride, we share the information needed to arrange and complete it, including your name, phone number, and precise pickup and drop-off locations, with the applicable TNC (such as Lyft or Uber) and, through the TNC, the assigned driver. Each TNC processes this information as an independent party under its own privacy policy, and not as a service provider acting on our behalf. Lyft’s privacy policy is available at www.lyft.com/privacy and Uber’s at www.uber.com/legal/privacy.

Business and marketing partners.  Third parties with whom we co-sponsor events or promotions, with whom we jointly offer products or services, or whose products or services may be of interest to you.

Advertising and analytics partners. Third-party advertising and analytics companies, such as social media platforms, advertising networks, and analytics providers, that collect information about your use of the Service and other online services over time through Cookies and similar technologies, as described in Cookies and similar technologies above. These partners use this information to help us reach and measure our audience and to provide advertising and analytics services, and they may process it under their own privacy policies.

Professional advisors.  Professional advisors, such as lawyers, auditors, bankers and insurers, where necessary in the course of the professional services that they render to us.

Authorities and others.  Law enforcement, government authorities, and private parties, as we believe in good faith to be necessary or appropriate for the compliance and protection purposes described above.

Business transferees.  We may disclose personal information in the context of actual or prospective business transactions (e.g., investments, financings, public stock offerings, or the sale, transfer or merger of all or part of our business, assets or shares), and to an acquirer, successor, or assignee as part of any such transaction or in the event of insolvency, bankruptcy, or receivership.

Your choices

Access or update your information or settings.  You may review and update certain account information and account settings by emailing us at support@meela.ai.

Opt-out of communications.  You may opt out of marketing-related emails by following the opt-out or unsubscribe instructions at the bottom of the email, or by contacting us. You may opt out of marketing text messages by replying STOP to any marketing text we send, and you may opt out of marketing or promotional calls by telling us during any call, or by contacting us at support@meela.ai or 833-976-3352. We will process opt-out requests within a reasonable time, and we may send you a single message confirming receipt of your request. If you choose to opt out of marketing-related communications, you may continue to receive service-related and other non-marketing communications. Transactional ride and account communications, including ride status calls and texts, are necessary to provide the Service and cannot be opted out of separately while you use the relevant Service.

Cookies.  Most browsers let you remove or reject cookies through your browser settings. If you set your browser to disable cookies, the Service may not work properly.

Do Not Track.  Some browsers may be configured to send “Do Not Track” signals. We currently do not respond to “Do Not Track” signals.

Declining to provide information.  We need to collect personal information to provide certain services. If you do not provide the information we identify as required or mandatory, we may not be able to provide those services.

Other sites and services

The Service may contain links to websites, mobile applications, and other online services operated by third parties, and our content may be integrated into web pages or other online services that are not associated with us. These links and integrations are not an endorsement of, or representation that we are affiliated with, any third party. We do not control and are not responsible for third-party services, and we encourage you to read their privacy policies.

Security

We employ a number of technical, organizational and physical safeguards designed to protect the personal information we collect. However, security risk is inherent in all internet and information technologies and we cannot guarantee the security of your personal information.

International data transfers

We are headquartered in the United States and may use service providers that operate in other countries. Your personal information may be transferred to the United States or other locations where privacy laws may not be as protective as those in your state, province, or country.

Children

The Service is not intended for use by anyone under 18 years of age. If you are a parent or guardian of a child from whom you believe we have collected personal information in a manner prohibited by law, please contact us. If we learn that we have collected personal information through the Service from a child without the consent of the child’s parent or guardian as required by law, we will comply with applicable legal requirements to delete the information.

Changes to this Privacy Policy

We reserve the right to modify this Privacy Policy at any time. If we make material changes, we will notify you by updating the date of this Privacy Policy and posting it on the Service or by other appropriate means. Modifications are effective upon posting (or as otherwise indicated). Your use of the Service after the effective date of any modified Privacy Policy indicates your acknowledgment that the modified Privacy Policy applies. Depending on the change, we might notify you or request your consent.
